How to Build a Brand Voice That Outlasts Any Campaign

Most brands have a logo, a color palette, and a font. Very few have a voice — a consistent, recognizable way of speaking that makes every piece of communication feel unmistakably theirs.

Voice vs. Tone: The Distinction That Matters

Brand voice is who you are. Brand tone is how you adapt that identity to context.

Ogilvy's voice was authoritative and precise — always. His tone adjusted: warmer in consumer campaigns, more technical in B2B. The underlying character never changed.

A brand's voice should be identifiable across a company earnings call, a social media post, a product label, and an email subject line. If you can't recognize the brand without seeing the logo, the voice isn't working.

The test: strip every piece of communication of its logo and visual identity. Does it still sound like one company?

The Four Voice Dimensions

Define your brand voice across these four axes:

  1. 1.Humor vs. Seriousness** — Not a binary. Most brands live somewhere in the middle, and the mistake is being unclear about where. Patagonia is earnest. Oatly is playful-earnest. Liquid Death is deliberately absurdist.
  1. 1.Formal vs. Casual** — This is table stakes, but most brands get it wrong because they define it for one channel and forget to apply it everywhere.
  1. 1.Expansive vs. Precise** — Does your brand write in sweeping, evocative language? Or in specific, factual, tight prose? Ogilvy's brands were precise. Apple's brand is expansive.
  1. 1.Familiar vs. Authoritative** — Are you speaking as a friend or as an expert? Dove is a friend. McKinsey is an authority. Most brands try to be both simultaneously and achieve neither.

What Kills Brand Voice

The four brand voice killers:

Agency rotation: Every new agency wants to put its stamp on the brand. Without a codified voice document, the brand sounds different every 18 months.

Channel silos: The social team writes one way. The PR team writes another. The email team writes a third. No one checks consistency across channels.

Approval by committee: Every piece of communication gets softened, qualified, and genericized by rounds of legal and stakeholder approval. The voice gets averaged into nothing.

Fear of personality: The safest voice is no voice. Brands afraid of alienating anyone produce communication that engages no one.

Building Your Voice Document

A functional brand voice document has five components:

  1. 1.Voice definition** — 3–5 adjectives with explicit definitions (not 'bold' — 'bold means we say the true thing even when it's uncomfortable')
  2. 2.Voice in action** — 10 real examples of on-voice communication with annotations explaining what makes them right
  3. 3.The 'we would never say' list** — Specific phrases, constructions, and tones that are explicitly off-brand
  4. 4.Tone variations** — How the core voice adapts to different contexts (crisis communication, celebration, technical content)
  5. 5.The single-sentence test** — One sentence that, if added to any piece of communication, would immediately sound wrong if the voice was being violated

Without examples and anti-examples, voice documents are useless. Principles without proof are decoration.

The Consistency Compound Effect

Consistent brand voice compounds over time like an investment. Each consistent touchpoint reinforces recognition. Recognition lowers the cognitive cost of trust. Lower trust cost increases conversion.

Dove has run 'Real Beauty' for over 20 years. The voice — warm, honest, specific about women's real experiences — hasn't deviated. The campaign executions are infinite. The voice is constant.

Brands that change voice with every agency review are starting from zero every 18 months. Brands with consistent voice are building equity that shows up in pricing power, loyalty rates, and word-of-mouth.
